Carding – What you need to know

THERE ARE A FEW STEPS ALONG THE WAY TO GETTING A STAFF OR PLAYER CARD REQUESTED, THROUGH THE APPROVAL PROCESS WITH US CLUB SOCCER AND THEN FINALLY READY TO PRINT FROM THE KYCK SYSTEM. HERE IS A SNAPSHOT OF THE PROCESS MOST CARDS WILL GO THROUGH.

Player Cards

1. The player needs to be added to the KYCK system, their appropriate documents need to be uploaded and their photo needs to be added (photo can be added after the card is approved, but it must be on the card at the time of the game in order for the card to be valid) before a card can be requested.
2. To make a card request once you have completed step 1 listed here (or if you are renewing a card) you must have staff permissions to ‘request cards’ in KYCK. Then you can follow these instructions to make a card request. Card fees are based on age of players. If you have a team that is in a league read this article about card fees.
3. Once a card has been requested and paid for, the card request is sent to your US Club Admin Rep. Each time you check back in KYCK on the ‘status’ of the card, the system will either say ‘new’ or ‘approved’. If the card status is ‘new’ it means the request has been newly made, and the card is in the approval process.
4. If documents are un-readable or in question in any way you will hear from US Club via the messages system in KYCK. Only Registrar’s have the ability to check and send messages in KYCK.
5. Card approval and processing takes 2-4 days unless you make your request during peak seasons. In peak season (July-Sept) cards can take 8-10 days to be approved. KYCK does not approve card requests. If you have any questions related to a card request once it has been made, contact your US Club Admin Rep
6. Once the player card has been approved, the status in KYCK will show ‘approved’ and you will see a large blue ‘print’ button available. If you click that link you will be taken to a printable PDF file of the card. If the information on the player card is incorrect, please contact your US Club Soccer Admin Rep. If the card does not have a photo on it, you can add a photo by cutting one out and laminating it onto the cards surface. Cards are not valid until a photo is attached.

Staff Cards

1. Staff members need to be added to the KYCK system and their photo should be added to their KYCK profile before a card is requested. Staff background checks are mandatory once per year. The background check process comes after the card request has been made through KYCK. See steps XX below for more background check information.
2. To make a card request once you have completed step 1 listed here (or if you are renewing a card) you must have staff permissions to ‘request cards’ in KYCK. Then you can follow these instructions to make a card request. Staff cards are valid for 2 years.
3. Once a card has been requested and paid for, the card request is sent to your US Club Admin Rep. The Admin Rep cannot process the card for approval until the staff member then goes and requests their background check here. The background check process will output a confirmation number specific to that staff member. The staff member must then email that number to whomever in their club is working on getting their card processed. This number then needs to be put into the KYCK system using the messages system. If there are any issues related to the staff background check or the card request made on their behalf, there will be messages left from US Club in this same message area.
4. Once the background check confirmation number is submitted via the message system you can expect card approvals in 2-4 days unless you make your request during peak seasons.
